Expensing chit in Brex

Brex is the only expense tool in this set that documents a dedicated out-of-pocket flow step by step, which makes it one of the easier ones to get right. The two things worth knowing before you start: pick a funding spend limit whose date range actually covers your purchase, and use the right email address, because Brex runs several and they do different jobs.

How to get it covered

Every step below comes from the platform's own documentation, linked beside it, with the date we read it.

    In the Brex dashboard, go to Wallet and choose Request reimbursement, then Out of pocket.

    Connect your personal bank account if you have not already, then upload the invoice PDF — Brex reads it and pre-fills the fields for you.

    Pick the funding spend limit whose timeframe includes the purchase date. This is the step people get wrong: a limit whose window does not cover the date will not fund the claim.

    Complete any remaining required fields and submit. If you ever lose a receipt, Brex can generate an affidavit instead — but you will not need it here.

What your receipt has to show

  2. Mind which address you use — they are not interchangeable. reimbursements@brex.com starts an out-of-pocket draft, sent from your Brex sign-in address with the memo as the subject. receipts@brex.com only matches receipts to existing Brex card expenses.

Expensing an AI voice recorderDraft
Hi —

I'd like to expense a chit AI voice recorder ($129). It's a card-sized recorder I hold down to capture what was said, and it writes the notes and the follow-ups afterwards.

As account executive, most of what I need to write down later gets said out loud first — in meetings, on site, in the car afterwards. This closes the gap between saying it and it being written down, which is where things currently get lost.

I'd put it through Brex. I'll have an itemised invoice — merchant, date, line items, total and payment method — so there's nothing outstanding for the receipt.

Where is the out-of-pocket flow?

Which Brex email address should I use?

reimbursements@brex.com for an out-of-pocket reimbursement draft, sent from your Brex sign-in address with the memo as the subject line. receipts@brex.com is a different thing: it matches receipts to expenses already made on a Brex card. Sending to the wrong one is the most common way this stalls.

My claim will not fund. What went wrong?

Most often the spend limit. Brex funds an out-of-pocket claim from a spend limit whose timeframe includes the purchase date — if you picked one whose window does not cover it, the claim has nowhere to draw from.

What formats does Brex take?

.pdf, .jpg, .png and .xml. Brex verifies a receipt by matching date, amount and merchant, and accepts it on two of the three. An itemised PDF invoice clears all three.

Which expense category do I choose?

Brex says it ships roughly 80 default categories but does not publish the list, and most companies customise theirs. Choose your company's closest equivalent — usually an office-supplies or equipment category — and describe the device plainly in the memo.
