Benepass is card-first: most people tap and it clears. The failure people actually hit is a decline that says nothing about the item — it is the merchant category. That is worth knowing before you assume you were turned down. Benepass's Work From Home benefit is described as covering office furniture, equipment and productivity tools, which is the shelf chit sits on.

    Check the benefit first. In the Benepass app, open Accounts, pick the benefit, and look at Merchant Guidelines and Eligible Categories — Benepass shows which merchants are allowed and disallowed for that specific benefit.

    If you have the Benepass card, pay with it. If it declines with merchant not allowed, that is the merchant category, not the item — Benepass documents a separate route to request merchant approval through your employer's Benepass contact.

    To get reimbursed instead, choose Get reimbursed from the side menu on desktop or the hamburger menu on mobile, then select the benefit and a bank account if prompted.

  2. It must be itemised and easy to read, and Benepass accepts .jpg, .heic and .pdf. The invoice we email is a PDF, so it will not be rejected for being blurry — a documented denial reason.

Hi —

I'd like to expense a chit AI voice recorder ($129). It's a card-sized recorder I hold down to capture what was said, and it writes the notes and the follow-ups afterwards.

As account executive, most of what I need to write down later gets said out loud first — in meetings, on site, in the car afterwards. This closes the gap between saying it and it being written down, which is where things currently get lost.

I'd put it through Benepass. I'll have an itemised invoice — merchant, date, line items, total and payment method — so there's nothing outstanding for the receipt.

Your employer chooses which benefits exist and what each one allows, so open Accounts in the app and read the Merchant Guidelines and Eligible Categories for yours.

My Benepass card was declined. Does that mean chit is not eligible?

Not necessarily. Benepass lists merchant not allowed and merchant did not provide necessary data as separate decline reasons — both are about how the merchant is categorised, not about what you were buying. Benepass documents a process for requesting merchant approval through your employer's Benepass contact, and reimbursement remains open regardless.

Exactly what does the receipt need to show?

Benepass requires the individual items purchased, the purchase date, the total cost, the merchant name, the payment method, and the service date where applicable. It has to be itemised and easy to read. The invoice PDF attached to your chit receipt carries all six.

How fast is reimbursement?

Benepass says it reviews expenses within five business days. Direct ACH arrives three to five business days after approval; payroll reimbursement typically lands the month after approval. Benepass has also said publicly that most transactions on its platform are approved instantly through automated receipt review.

Is a Benepass reimbursement taxable?

Benepass explains that most lifestyle benefits create imputed income added to your paycheck, and that taxability is set at the programme level rather than per item — if a benefit is taxable, everything under it is. Your employer handles the reporting. This is not tax advice; ask your employer which programme you are spending from.
