Approved, declined, and what you promised to call about

The service drive runs on three facts that are almost never written down: what the customer approved, what they declined, and when you said you would call. All three are spoken, usually in a hurry, often at the car. Hold the button and repeat them back — VIN, the work approved, the work declined and why, the callback you just committed to. The evening digest sorts the day into those buckets. When an authorization is disputed six weeks later, or when a declined brake job comes back as a complaint, the record is what was actually said, in the customer's own words, with a time on it. Advisors run this as a habit between the car and the desk, which is also where the promised callback gets made — and a promised callback that nobody logged is the single most common reason a repair order goes cold.

Can I capture VINs and vehicle details by voice?

Say the VIN, mileage, and complaint during the walkaround and they land in the transcript. Membership includes ask-anything search, so any vehicle's history of notes is a question away.

How does it settle 'I never approved that' disputes?

The approval call was captured when the customer said it. A timestamped transcript of what was authorized — and what was declined — is how authorization disputes end.

Does it track declined work for follow-up?

Yes. Declined work you mention shows up in that evening's digest as next steps, so this quarter's declines become next quarter's pipeline instead of a lost ticket note.

Do I have to stop what I'm doing to take notes?
